Industry AI Assistant: When to Build Your Own

Industry AI Assistant: When to Build Your Own

Demand for an "industry AI assistant" is growing steadily, especially in finance, banking and operations management. The reason is simple: a general assistant can answer almost anything, but it does not know the processes, data and rules specific to your business. This article helps you decide when a ready-made tool is enough and when a dedicated assistant is worth building.

Three questions to decide

1. What data does the assistant need? If it is public data or personal documents, a ready-made tool is usually enough. If it must look up internal software (CRM, accounting, inventory, bookings, customer records), you need a dedicated assistant with connections.

2. Does the assistant need to act? If it only summarises and drafts, use a ready-made tool. If it must create tasks, record orders, send payment links or update statuses, you need a dedicated assistant with permissions and human approval.

3. Who talks to the assistant? If staff use it for their own work, a ready-made tool will do. If customers talk to it on the business's channels, you need a dedicated assistant that carries your brand, follows your rules and keeps a log.

If two of the three answers point to "dedicated", build a dedicated assistant.

Industry AI assistant: examples by sector

SectorWhat the assistant doesData to connect
Finance, lendingAnswers product conditions, guides applications, reminds payment dates, hands files to specialistsProduct sheet, application system, payment schedule
Hotels, accommodationBookings, deposits, passport reading, door codes after approval, service requestsBooking software, payment gateway, guest register
Retail, e-commerceProduct advice, stock checks, order creation, delivery trackingCatalogue, inventory, orders
Real estatePrices, legal status, lead capture, viewing appointmentsPrice list, CRM
Internal operationsProcess lookup, task assignment, deadline reminders, report summariesTask board, process documents

For sensitive operations such as credit scoring or loan approval decisions, the assistant should only support: collect files, check that documents are complete, summarise for the specialist. The final decision belongs to an authorised person and a validated business model.

Dedicated, but not built from scratch

CSM Bridge's industry assistants run on one shared AI Agent core. The shared part already includes:

  • conversation memory, so it remembers what the customer said;
  • answers based on documents, never invented;
  • masking of personal information before it reaches the AI model;
  • a human approval gate for irreversible actions;
  • multichannel connections: website, Messenger, Zalo OA, WhatsApp;
  • connectors to other software.

Each industry differs in its tools, documents and rules, which are declared as configuration. A new industry means new configuration. Truly specific needs such as screens, reports or calculation rules are built as extra custom software modules on the same core, not as a separate system.

Suggested roadmap

  1. Week 1: pick one process, gather documents, run the assistant answering from those documents.
  2. Weeks 2–3: connect one piece of software that needs data lookups, turn on approval for writes.
  3. Week 4: measure results (tasks handled automatically, tasks handed to people, customer feedback) and decide whether to expand.

Frequently asked questions

What if our internal software is old and has no API?

A connector can read and write through the database or a regular export. This is the "custom software" part, built once.

Does our data leave the business?

Personal information is masked before it is sent to the AI model. The business chooses its model provider and can use its own API key.

How is the cost calculated?
