An AI Agent is an AI assistant that can understand a goal on its own, choose its tools, look up real data and carry out several steps in a row to complete a task. It does not just answer a question. A chatbot tells you how to book a room. An AI Agent books it for you.
What is an AI agent: a short definition
An AI Agent has four components:
- A language model (LLM): the "brain" that understands language and reasons, for example GPT, Gemini or Claude.
- Tools: the things it is allowed to do: check availability, create orders, send messages, create payment links, search documents.
- Memory: it remembers what the user has said in the conversation so it does not ask again.
- Rules: what it may do on its own, what needs human approval, and what it must never do.
Without "tools", it is a chatbot. Without "rules", it is a risk.
How does an AI Agent work?
On every turn, an AI Agent goes through a loop:
- Understand the request. "Do you have a room for 2 people on 20 December?"
- Plan. It needs to check availability for 20–21 December for 2 people.
- Call a tool. Query the booking software and get the real result.
- Read the result and decide the next step. There are 3 room types. Quote the prices and ask which one the guest prefers.
- Act when the guest agrees. Hold the room, create a deposit link. Anything irreversible waits for human approval.
- Report the result.

- Multi-agent systems: several agents share the work, for example one agent advises and another handles payment.
Risks and how to control them
An AI Agent that can act can also act wrongly. Three safety principles:
- Only say what has a source. If a price is not in the data, say it is not available yet; never guess.
- Human approval for irreversible actions. Granting access, refunds, cancellations: the AI proposes, a person clicks approve.
- Write to the right system, with a log. Every action can be traced: who did it, when, and with what data.
How should a business get started?
- Pick the task that repeats the most, for example answering prices after hours.
- Gather documents: price lists, policies, frequently asked questions.
- Connect the software you already use so the AI Agent can look up real data.
- Turn on human approval for every action that writes data.
- Measure after 2 weeks: how many tasks the AI completed on its own, how many were handed to people.
